Hiring an Event Planner vs. Doing It Yourself: An Honest Comparison
When a planner is genuinely worth it and when DIY is fine — a candid look at cost, time, stress and where self-planned events actually break.
It would be strange for a planning studio to claim everyone needs a planner. Plenty of events do not. The useful question is not “planner or not” in the abstract — it is whether, for this specific event, the cost of a planner is less than the cost of the version where you run it yourself. Sometimes it clearly is not. Here is the honest line.
When DIY is genuinely the right call
- Small and low-stakes: a casual dinner for eight where the goal is good food and the people, not production.
- You enjoy this: some hosts genuinely love planning and would be bored handing it off. That is a real reason to DIY.
- Long runway, simple scope: months of lead time and a single vendor to manage is very doable solo.
- Budget is the hard constraint: if the choice is a planner or the event, the event wins. A planner should never be the reason it does not happen.
When a planner usually pays for itself
The value of a planner is rarely the decor — you can buy decor. It is the removal of coordination load and the prevention of the expensive mistakes you only make once.
- You are also the guest of honour or the host: you cannot enjoy your own milestone while directing five vendors. This is the single most common regret we hear.
- Three or more vendors: catering, bar, music, rentals and styling each have a contract, a timeline and a failure mode. Past three, coordination becomes the job.
- Tight timeline or a venue you do not know: unfamiliar rooms and rush dates are where DIY events quietly go wrong.
- It has to land: a proposal, a landmark birthday, a client-facing dinner. No rehearsal, no second take.
- Outdoor or weather-exposed in Ottawa: the backup plan is real work, and it is the work people skip.
A middle path most people miss
It is not binary. Styling-only engagements exist precisely for hosts who want to run their own night but want the room to look considered. Day-of coordination exists for hosts who planned everything themselves but do not want to also execute it while hosting. You can hand off the part that breaks and keep the part you enjoy.
How to decide in two minutes
- Count the vendors. Three or more leans toward help.
- Ask who you are on the night — host, guest of honour, or both. Both leans toward help.
- Ask what happens if your weakest link fails. If the answer is “the event,” lean toward help.
- Ask honestly whether you will enjoy doing this. If yes and the scope is small, DIY is the right answer.
